Zoom's cloud transcript is enough for internal notes, while uploading the MP4 wins for speaker cleanup, an SRT for YouTube, and guests Zoom never labeled.

Transcribe faster with File Transcribe
Upload audio or video, get speaker labels, timestamps, and editable text free to try.
Zoom cloud transcript vs uploading the MP4 is a choice about the finished file, not about which robot should join the call. Zoom can write an audio transcript (often a VTT) onto a cloud recording. You can also download the recording and transcribe it somewhere that lets you fix speakers and export captions.
Use Zoom's transcript for internal notes when the audio was clear and nobody outside the meeting needs a polished file. Upload the MP4 to File Transcribe when you need speaker cleanup, an SRT for YouTube, or names for people who were never a Zoom participant on that call.
How to pull the audio-only file is download Zoom audio for transcription. If the video is on the host's disk, start at how to transcribe a Zoom local recording. Turning Zoom's feature on is covered in how to get a transcript from a Zoom cloud recording. This page is the comparison.
Zoom cloud transcript vs uploading the MP4
Where the text lives
- Zoom audio transcript
- On the cloud recording in Zoom
- Upload the MP4 (or M4A)
- In a transcript you can export
Speakers
- Zoom audio transcript
- Zoom's participant names, when it could match them
- Upload the MP4 (or M4A)
- You rename anyone who spoke on the file
People not in Zoom
- Zoom audio transcript
- A room guest, a phone voice, or a shared mic often stays unlabeled or wrong
- Upload the MP4 (or M4A)
- You name them from the audio
YouTube SRT
- Zoom audio transcript
- Zoom's VTT matches the raw cloud recording, not a later edit
- Upload the MP4 (or M4A)
- Export SRT timed to the cut you publish
Good enough for
- Zoom audio transcript
- Internal recap, "what did we decide"
- Upload the MP4 (or M4A)
- Published video, quote checks, caption files
Bot in the meeting
- Zoom audio transcript
- No
- Upload the MP4 (or M4A)
- No
When it is missing
- Zoom audio transcript
- Feature off, plan limits, or still processing
- Upload the MP4 (or M4A)
- You never downloaded the recording
Short version: Leave the text in Zoom if the notes are internal. Upload the file if a stranger will read the words or watch them as captions.
When Zoom's transcript is enough
Zoom's audio transcript is the low-friction path. The recording finishes processing, a transcript shows up next to it, and you skim for action items. For a weekly internal meeting with decent headsets, that is often the whole job.
Stay there when:
- The readers were in the meeting, or they work with people who were
- You do not need a caption file for YouTube, a course site, or a client cut
- Names Zoom already shows are the names you would have typed
- You will not trim the recording into a different video
Zoom's editor, on plans that include it, is fine for a typo. It is a slow place to rebuild a two-hour webinar, fix a glossary, and ship SRT. If the transcript never appears, do not wait on it forever. Download the media. Processing delays, disabled settings, and plan limits are all common. The click path for the M4A is the audio download guide.
When uploading the file wins
Speaker cleanup
Zoom labels accounts. It does not always label voices. You will see an iPhone, a duplicate name, two humans merged, or a speaker who never gets a name because they shared a laptop. A segment editor lets you set Host, Guest, and the person who only talked during questions, then hear the line you changed.
File Transcribe is upload-first. Drop the cloud MP4 or the audio-only M4A on the homepage. Guest try covers a first pass. The free plan is 50 minutes a month. Pro is about $19/mo and about 2,000 minutes. Plus is about $49/mo and about 5,000 minutes. The allowance refreshes each month. See /pricing. Export TXT or DOCX for notes, and SRT or VTT when the recording is also a video.
An SRT for YouTube
Zoom's VTT is timed to the cloud recording Zoom stored. Your YouTube upload is often a different object: a cold open, a trimmed hello, a removed screen share, music under the intro. Captions from the raw VTT drift as soon as the edit changes duration.
Upload the file that matches the publish. If YouTube will play the uncut cloud MP4, you can caption that. If you exported a new master from an editor, transcribe the new master. Then add the SRT in YouTube Studio. Zoom's transcript will not follow you onto YouTube by itself.
Guests who were not in Zoom
Three ordinary cases break Zoom's participant list:
- Someone sat in the room and talked into the host's microphone. Zoom counted one participant. The recording has two voices.
- A caller showed up as a phone number, or the audio was a bridge Zoom did not name cleanly.
- A producer, interpreter, or second guest was mixed into the published video after the call. They were never a Zoom user on that meeting. Zoom's transcript cannot name them, because they are not in that recording's participant track. They are in the file you edited.
If the words have to attribute the right human, upload the mix people will hear and label speakers yourself. Internal notes can live with "Speaker 2." A published interview should not.
Same meeting, different files
| You need | Use |
|---|---|
| A recap for the team that was on the call | Zoom's audio transcript, if it exists and the names look right |
| Notes, but no interest in picture | Download audio only (M4A) and upload that |
| Captions for the cloud MP4, unedited | Upload that MP4, export SRT, or start from Zoom's VTT only if you will proof it |
| Captions for a trimmed YouTube version | Transcribe the trimmed file, not the raw cloud VTT |
| A quote from a person on a shared room mic | Upload the recording and set the name. Do not trust the participant list |
Local disk is a third path. A meeting recorded only to the host computer has no cloud transcript at all. The MP4 in Documents/Zoom is the source. Steps: Zoom local recording.
What upload does not fix
Bad audio stays bad. A cafe laptop, two people shouting, and a Bluetooth headset in a car will come out rough in Zoom's transcript and in any other tool. Fix the next recording before you shop for a fourth app.
Upload also does not invent a cloud transcript inside Zoom. Your text lives in File Transcribe, as an export you can paste into the doc you already use. If the requirement is "the transcript must remain inside Zoom's recording page," stay on Zoom's feature and accept its editor.
Neither path needs a bot in the call. Recording was the capture. Transcription is a file job after the fact. Teams that want a notetaker in the lobby are shopping for a different product. A vendor list aimed at cloud files is best tools to transcribe Zoom cloud recordings.
A simple rule for the person holding the file
Play the first minute and a minute from the middle.
If you can follow it, the names on Zoom's transcript match the humans, and the doc is internal, download Zoom's transcript and move on.
If you would be embarrassed to paste it to a guest, if YouTube is in the plan, or if someone spoke who never joined Zoom, download the MP4 or M4A and run it through a transcript you can edit. Proof the names either way. Zoom's labels feel official and are still wrong when the wrong laptop was signed in.
FAQ
Is a Zoom cloud transcript better than uploading the MP4?
Better for speed on internal notes. Uploading the MP4 is better when you need clean speaker names, an SRT matched to a published video, or people Zoom did not track as participants.
Can I put Zoom's VTT on YouTube?
Sometimes, if you proof it and the YouTube video is the same unedited cloud recording. If you trimmed the video, Zoom's timings will not match. Make a new SRT from the cut you uploaded.
What if a guest was in the room but not in Zoom?
Zoom will not give them a real name. Upload the recording, find their lines, and label them. A shared microphone limits how cleanly any tool can split two voices. You may need one speaker name for that mic and a careful quote pass.
Do I need a meeting bot for either option?
No. Cloud transcript uses the recording already in Zoom. Uploading uses the file you download. A bot is a live-meeting product.
What if Zoom never made a transcript?
Download the MP4 or the audio-only M4A and upload it. Waiting on a setting you cannot change does not create text.
Keep Zoom's notes, upload the file you will publish
Use the cloud transcript for the internal recap. When the same call becomes a video other people watch, upload that MP4 on the homepage, fix speakers, and export SRT. Pricing is on /pricing. The Zoom path starts at transcribe Zoom meetings.
