A Zoom local recording is the MP4 Zoom writes on the host's computer. It never has to appear in the cloud library. If you are staring at zoom.us and the meeting is not there, you are probably in the wrong place. Open the folder on the machine that clicked Record.

Cloud downloads and Zoom's own transcript are different jobs. Audio-only from the website is how to download Zoom audio for transcription. Choosing Zoom's VTT versus a new transcript is Zoom cloud transcript vs uploading the MP4. The bot question is how to transcribe a Zoom meeting without a bot. This page is only the file on disk.

How to transcribe a Zoom local recording

You need the computer that hosted the recording, or a copy of the folder that person sends you. Zoom's website will not grow a local file later. Participants who did not record do not have a hidden copy.

Local recording has to be allowed on that Zoom account. Some companies turn it off. Webinar settings differ from normal meetings. Confirm in the Zoom desktop app under Settings, then Recording. The official client is at zoom.us.

What you see in the meeting folderWhat to do
zoom_0.mp4Upload this for a transcript timed to the picture
audio_only.m4aUpload this if you only need text
zoom_1.mp4, zoom_2.mp4The host stopped and started. Check durations and upload the real parts
double_click_to_convert_01.zoomNot finished. Convert it in Zoom before you upload
chat.txtTyped chat only. It will not transcribe speech

Step 1: Let Zoom finish converting

When the meeting ends, the desktop app converts the recording. A progress window sits on screen. Let it finish. Sleep the laptop in the middle and you get a folder with no MP4.

If the window is gone and the video is missing:

  1. Open the Zoom desktop app on the host computer.
  2. Go to Settings (the gear), then Recording.
  3. Find the local recording location. There is an Open control next to the path.
  4. Open the meeting folder. The name starts with the date and time, then the topic. Time uses dots, not colons, because folder names cannot contain colons. Example shape: `2026-10-15 09.12.04 Interview with Sam`.
  5. If you see `double_click_to_convert_01.zoom`, double-click it. Zoom must be installed. Wait until an MP4 appears.
  6. Do not upload the `.zoom` file. Transcription wants the MP4 or the M4A after conversion.

Default folders, unless someone changed them:

  • Windows: `C:\Users\YourName\Documents\Zoom\`
  • Mac: `/Users/YourName/Documents/Zoom/`

If the path was changed, the Settings screen is the map. Do not search the whole disk for every MP4 you have ever exported from an editor. Stay inside Zoom's recording location.

Step 2: Pick the file that is actually the meeting

Inside the folder, `zoom_0.mp4` is the usual video: mixed audio plus the picture Zoom recorded (speaker, gallery, or shared screen, depending on settings).

`audio_only.m4a` in the same folder is the mixed sound without picture. Use it for notes. Use the MP4 if you will caption a video later, so timestamps match the picture.

Stopped and started recordings create `zoom_0.mp4`, then `zoom_1.mp4`. Play the first seconds of each. Upload the parts that are the real meeting. A 20 second file is often an accidental start.

If the host enabled a separate audio file per participant, you may see extra audio files. Those are single voices, not the meeting. For a normal transcript, use the mixed MP4 or the single mixed `audio_only.m4a`. Transcribing one participant track and calling it the meeting drops everyone else.

Step 3: Get the file off that computer

The recording lives only where it was saved. Email will choke on a long MP4. Copy it with the drive, a shared folder, or whatever file transfer you already trust. Send `zoom_0.mp4`, not the whole Zoom documents directory, and not the `.zoom` converter stub.

If you are not the host, ask for that MP4. A cloud link cannot be created after the fact from a local recording unless the host still has the file and uploads it somewhere. Zoom does not sync local recordings up on its own.

Step 4: Upload and name the speakers

  1. Open File Transcribe or transcribe Zoom meetings.
  2. Upload the MP4 (or the M4A if you only need text). Guest try works for a first look. Free accounts include 50 minutes a month. A long local recording needs more: Pro is about $19/mo and about 2,000 minutes, Plus about $49/mo and about 5,000 minutes, refreshing each month. Details on /pricing.
  3. Choose the language if the meeting was not a mix you want auto-detected.
  4. Enable speakers when several people talked.
  5. Rename segments. A local file does not hand you clean "Jane / Omar" labels by magic. Play the audio and set them.
  6. Export TXT, DOCX, or PDF for notes. Export SRT or VTT if this MP4, or a trimmed version of it, will be published. Captions have to match the cut you publish.

No meeting bot joins anything. The meeting is over. You are reading a file from disk.

Fix names, product words, and the decisions. Skim filler unless the transcript is going out as a full script. Room noise and a laptop mic in a conference room will dent accuracy. A second pass on the noisy minutes beats running the same file through three tools.

Local file versus cloud file

Where it sits

Local recording
Host computer, Documents/Zoom unless moved
Cloud recording
zoom.us Recordings

Who has it

Local recording
Whoever has that disk
Cloud recording
Host, and people they share with

Typical upload

Local recording
`zoom_0.mp4` after conversion
Cloud recording
M4A audio only, or the cloud MP4

If you cannot find it

Local recording
Settings, Recording, Open. Or ask the host to copy the folder
Cloud recording
Recording still processing, wrong account, or it was never recorded to the cloud

If both exist, they can differ. The host might have stopped the local recording early and left the cloud one running. Check duration against the meeting you remember before you transcribe the short one.

FAQ

How do I transcribe a Zoom local recording?

Finish Zoom's conversion, take `zoom_0.mp4` from the meeting folder on the host computer, upload it, rename speakers, and export text or SRT.

Where does Zoom save local recordings?

On the path in the desktop app under Settings, then Recording. The usual spot is the user's Documents folder, inside Zoom, in a subfolder named with the date, time, and topic.

What if I only see a .zoom file?

Conversion did not finish. Double-click `double_click_to_convert_01.zoom` with Zoom installed, wait for the MP4, and upload that.

Can I transcribe a local recording if cloud recording was off?

Yes. Local and cloud are separate. An empty cloud library does not mean the meeting was not recorded.

Who can download a local recording from Zoom's website?

Nobody, unless someone uploads it later. The file is on the host machine. Ask that person for the MP4.

Upload the MP4 from the Zoom folder

Open the recording location from Zoom's settings, confirm you have a real `zoom_0.mp4`, and upload it on the homepage. If your only copy is an M4A on the cloud recording page, switch to the audio download steps instead of hunting the laptop.
