Transcribe faster with File Transcribe
Upload audio or video, get speaker labels, timestamps, and editable text free to try.
Transcribing a Webex recording means getting the host's MP4 out of Webex and turning that file into text you can edit. The meeting is already over. You are not putting another tool in the participant list.
File Transcribe does not join Webex, and it does not open an ARF. ARF is Webex's proprietary recording. The practical file is the MP4 cloud recording. If an internal recap is all you need, leave the text in Webex. The choice between those paths is best Webex transcription workflows. The page you upload on is Webex meetings.
Direct answer
- Be the host, or use a recording the host already shared with you.
- Open Recordings in Webex and download the MP4.
- If the only download is an `.arf` file, stop. Convert it in Webex's own player, or re-download as MP4. Confirm the current clicks in Webex help.
- Upload the MP4 and turn speaker labels on.
- Rename the speakers. Fix product names and the decision line.
- Export text for notes, or an SRT if the replay needs captions.
- If Webex's own transcript already covers an internal recap, skip the upload.
Step 1: Download the host MP4
Webex keeps the cloud recording with the host. A guest who sat in the meeting often cannot download it. Ask the host, or use the share they already sent.
In the Webex site or the Webex app, open Recordings and download the video. The file you want ends in `.mp4`. That is the cloud recording people mean when they say "the Webex recording."
Take the MP4 when you might need captions later. If Webex also offers an audio-only download and you only need notes, that audio file is enough. Do not re-encode either one on your laptop "to make the transcript better." A second copy of the same muffled room does not help.
Name it before it lands in Downloads with a title like `Webex meeting 2026-10-27`.
`2026-10-27_vendor-review_host-initials.mp4`
Date, what the meeting was, and a host mark your policy allows. Leave customer account numbers out of the filename. Filenames get pasted into tickets.
Step 2: Leave the recap in Webex when it is enough
On sites where transcription is enabled, Webex can attach a transcript to the cloud recording. That text is the right tool when the readers were in the meeting, the names look right, and nobody needs a caption file.
Stay there when the transcript is present and readable. Admin settings and the plan decide whether it exists. If Recordings never shows one, do not keep refreshing the page all afternoon. Download the MP4 and move on.
Upload when any of these are true:
- The transcript is missing, or it is too thin to quote.
- A phone dial-in was never matched to a name.
- You need an SRT or VTT for a replay outside Webex.
- Someone who was not in the meeting has to read a cleaned copy.
Webex's transcript is a real recap. It is a poor workshop for a glossary pass and a caption export. That is the only reason to move the file.
Step 3: Upload and name the speakers
Drop the MP4 on Webex meeting transcription. Enable speaker labels. A 40-minute customer call is a normal upload. A three-hour training takes longer to send than to read.
Rename "Speaker 1" after you have heard a few seconds. Use the names people used on the call. A dial-in that Webex showed as a phone number still needs a name you type. A scorecard, a minutes page, or a follow-up that says Speaker 2 agreed is useless a week later.
Guest try works for a single file. Free is about 50 minutes a month. Pro is about $19 a month for about 2,000 minutes. Confirm on pricing.
Step 4: Mark the decision, not the whole meeting
Read for the lines someone will ask about on Monday:
| Moment | What you write down |
|---|---|
| The ask | What the meeting was supposed to settle, in their words |
| The decision | The sentence that settled it, with the timestamp |
| The owner | Who took the next thing, and the date they said |
Click the timestamp and listen once when a name, a price, or a product word looks wrong. Leave the weather and the "can you see my screen" loop alone.
If the same recording has to become minutes, take the edited transcript to meeting minutes. Keep the full text as the source. The minutes are the short page. They are not a second transcript with the small talk deleted by accident.
Step 5: Export the file the next person needs
TXT or DOCX for notes and a follow-up. SRT or VTT if that MP4 will be captioned for a replay, a training cut, or a customer who wants to watch later. Sign in for those exports.
Check numbers and names before the text leaves the editor. A draft that says the wrong figure is worse than no transcript, because people will quote it.
What this will not do
- It will not join a live Webex meeting or turn recording on for the host.
- It will not open an ARF. Convert that in Webex's player, or download the MP4. There is no ARF converter here.
- It will not flip the transcription switch inside your Webex site. That belongs to the site admin.
- It will not make a speakerphone in a glass room perfectly readable. Mark the messy stretch and listen.
FAQ
How do I transcribe a Webex recording?
Download the host's MP4 cloud recording, upload it on the Webex page, rename speakers, and export text or an SRT. If Webex already gave you a usable internal recap, you can stop before the upload.
Can I upload an ARF file?
No. ARF is Webex's own format. Convert it to MP4 in Webex's player, or download the MP4 when the recording offers one. Confirm the menu names in Webex help.

Does File Transcribe join the Webex call?
No. You upload a file you already downloaded. If you are shopping a bot for meetings that have not happened, that is a different list: best meeting transcription software.
Upload the MP4 on Webex meeting transcription. If the only output you need is a short recap, build it from the transcript in meeting minutes.
