Fireflies is worth it when every sales call must log to a CRM. Skip it when you already have the recording and need a transcript or an SRT. That is the whole purchase decision. A feature list will not make it clearer.
Fireflies.ai earns the seat when a bot on Zoom, Google Meet, or Teams is allowed, and someone in RevOps actually expects the call on the deal. It does not earn the seat when the Zoom MP4 is already in your downloads folder and the next step is editable text or captions. The product tour lives in the Fireflies.ai review (2026). This page is only the buy-or-skip call. Head-to-head on product shape: File Transcribe vs Fireflies.
Prices below are directional for mid-2026. Confirm on Fireflies pricing before you buy.
Is Fireflies worth the seat?
| Your week | Pay for Fireflies? |
|---|---|
| Every sales or CS call must log to HubSpot or Salesforce | Yes |
| Managers open talk tracks and search old deals | Yes, on a plan that includes that layer |
| You already have the Zoom MP4, Meet file, or phone M4A | No. Transcribe the file. |
| The deliverable is SRT or VTT | No |
| The client bans third-party bots | No on those calls |
| One or two recordings a month, no CRM | No |
If the first row is your job, the next section is the one that matters. If you are already holding the file, skip ahead and save the seat math.
Pay for Fireflies when every sales call must log to the CRM
This is the reason to pay. The bot joins the call. The transcript, summary, and fields your plan supports move toward the deal. A rep who forgets to paste notes still leaves a record. A manager can ask what was promised last month without hunting Slack.
A plain transcript tool does not do that job. File Transcribe will not join the meeting, will not write to Salesforce, and has no public API for a RevOps script to call. If the failure mode at your company is "the call happened and the CRM is empty," Fireflies is the category that matches. Otter can share live notes. It is a weaker CRM conversation-intelligence bet. The three-way picker is here: Fireflies vs Otter vs File Transcribe.
Directional mid-2026 seat prices, commonly listed and easy to misread:
- Pro often shows about $10 per seat per month on annual billing, or about $18 month to month
- Business often shows about $19 per seat per month annual, or about $29 monthly
- Enterprise is a higher annual seat, often where deeper analytics sit
Confirm storage, AI credits, and which CRM actions are actually on your tier. "We have Fireflies" is not the same as "every call logs the fields we care about." If Business is required for the sync your RevOps doc names, price Business, not the Pro screenshot.
The seat is worth it when three things are true at once:
- A bot in the meeting is acceptable to the buyer and to your own legal team.
- The CRM log is a required step, not a nice extra.
- More than one person will look at that log. A private recap you never reopen is an expensive diary.
Ten seats at Business prices add up fast. That math is fine for a pod that lives in demos. It is a bad invoice for a company that wanted transcripts.
Skip Fireflies when you already have the recording
If the Zoom cloud MP4, Google Meet recording, interview WAV, or voice memo is already saved, you are past the moment Fireflies is built for. Paying a seat so a bot can join next Tuesday does not help the file from last Tuesday.
Upload that file on the File Transcribe homepage. Guests can try a file without building a workspace. After sign-in you get a segment editor, speaker labels, and SRT and VTT export. Free is 50 minutes a month. Pro is about $19/mo for about 2,000 minutes. Plus is about $49/mo for about 5,000 minutes. Credits refresh each month. There is no meeting bot in the product, which is the point when the recording already exists.
That path fits:
- A sales call you recorded natively because the prospect refused a bot
- A webinar or demo MP4 you need as captions, not as a CRM object
- An interview you will quote, where speaker names must be right
- Any week where the only output is TXT, DOCX, SRT, or VTT
Zoom path without a joiner: transcribe Zoom meetings. If you already paid for Fireflies and the meeting is in there, you do not have to throw the CRM log away to get a cleaner transcript. Download the audio or video and upload it: how to transcribe a Fireflies export.
The seat is wasted when nobody reads the log
Worth it is not "the bot joined." Worth it is "the log changed the next email, the forecast, or the coaching note."
Do not buy Fireflies for:
- A founder who wants a personal recap and already records Zoom locally
- A content team turning calls into YouTube captions
- A research interview where a named bot would spook the source
- A team that exports the transcript to Google Docs and never opens Fireflies again
Those buyers are renting conversation intelligence and using it as a download button. Alternatives that stay closer to notes, without the CRM package: Fireflies alternatives for meeting notes.
If you are comparing shared live notes instead of CRM logging, read Otter on its own terms, or the short hub File Transcribe vs Otter. Different purchase.
Keep the CRM log and still get an SRT
You can pay for Fireflies and still skip it for caption work. A split that holds up:
- Fireflies on internal and sales calls where the bot is normal and the deal record matters
- File Transcribe on the MP4 or M4A when you need speaker cleanup or subtitle files
You are not migrating a workspace. You are downloading one recording. Plans for the file side: pricing.
FAQ
Is Fireflies worth it for a small sales team?
Yes if every call must hit the CRM and the buyers accept a bot. No if you are three people pasting a summary into Slack and the recording is already a Zoom file. Run the seat count against the live pricing page, not against a single Pro screenshot.
Is Fireflies worth it if I only need a transcript or SRT?
No. You would be paying for logging and search you will not use. Upload the recording on File Transcribe and export the format you need.
Is the free Fireflies plan worth using?
It is a limited trial of the idea, not a CRM system of record. Teams that need reliable logging end up on a paid seat. Confirm the current caps before you build a process on free.
Should I pick Fireflies or Otter?
Pick Fireflies when the CRM log is the requirement. Pick Otter when the company wants shared live notes and the CRM sync is optional. Neither one is the tool for an SRT from a file you already saved. Picker: Fireflies vs Otter vs File Transcribe.
Can I get captions from a meeting Fireflies already captured?
Keep the Fireflies meeting for the CRM. Download the audio or video, upload it, and export SRT or VTT. Steps: how to transcribe a Fireflies export.
Upload the file you already have on the homepage, or check minute caps on pricing before you subscribe to a seat you will not log.
