How to transcribe a Fireflies export in 2026: download the meeting audio or video you already captured, then upload it for a cleaner transcript or SRT.

Transcribe faster with File Transcribe
Upload audio or video, get speaker labels, timestamps, and editable text free to try.
You already use Fireflies. Leave it on for the calls that must log to the CRM. This guide is the extra step when that meeting page did not hand you a cleaner transcript or an SRT: download the meeting audio or video, then upload the file.
Fireflies stays the system of record for the sales call. File Transcribe is where the MP3, M4A, or MP4 becomes speaker-labeled text and subtitle files. You are not migrating the workspace. You are making a second deliverable from a recording you already paid to capture.
If you are still deciding whether the Fireflies seat is worth paying, that is a different page: is Fireflies worth it?. Product shapes: Fireflies vs Otter vs File Transcribe.
When a Fireflies export is not the file you need
Fireflies is built to store the meeting, summarize it, and push context toward tools like HubSpot or Salesforce. That export is often a notes document, a PDF, or text you copy out of the meeting. Useful for the deal. Weak when you need:
- An SRT or VTT for YouTube, a course clip, or an editor
- Speaker names fixed before a quote goes into a case study
- A line-by-line pass on a noisy demo or a long interview that happened to run through Fireflies
- A transcript you can edit without living in the meeting workspace
Confirm what your Fireflies plan actually downloads. Menus move, and some workspaces store video while others keep audio. If the meeting page will not give you media, use the original Zoom or Meet recording instead. Steps for that path: transcribe Zoom meetings.
Step 1: Open the meeting you want a better file from
- Sign in to Fireflies.
- Open the meeting from your library, not from a forwarded summary email.
- Check that you have rights to reuse the recording. A customer call may be fine for internal notes and wrong for a public caption file.
- Play a few seconds. If the recording is the one you remember, keep going. If it is a short highlight, look for the full media before you transcribe a clip by accident.
Do this for one meeting first. Do not bulk-export a quarter of calls until the SRT from a single file looks right.
Step 2: Download the meeting audio or video from Fireflies
Fireflies' controls move, so follow the job, not a brittle button name.
- On the meeting, look for Download, Export, or the recording menu near the player.
- Choose the meeting audio or video, not only the transcript summary.
- Save the original file. Common results are MP3, M4A, or MP4.
- Skip a tiny preview render if a fuller recording is offered.
Name the file with the date and account before you drop it in a downloads folder full of `meeting.mp4`. You will not remember which demo it was on Thursday.
Step 3: If Fireflies will not give you the media, take the platform copy
Some plans, or some older meetings, leave you with notes and no downloadable recording. Use the file the meeting platform already stored.
- Zoom: open the cloud recording and download the MP4 (or M4A if you only have audio).
- Google Meet: download the recording from Drive if your workspace saved it. Guide: Google Meet.
- A local Zoom recording on your laptop works too. That file is often clearer than a second-hand export.
You still keep the Fireflies meeting for the CRM log. The platform file is only the media for the transcript pass.
Step 4: Upload it when you need a cleaner transcript or SRT
- Go to the File Transcribe homepage and drop the file. Guests can try without creating a workspace first.
- Wait for the draft. A 25-minute sales call is a normal upload. A 2-hour webinar takes longer to send than to transcribe.
- Open the segment editor. Click a line to jump the audio. That is how you catch a wrong product name or a speaker label that drifted.
- Rename speakers so the export matches how you will quote them. "Speaker 2" is useless in a case study.
Free accounts include 50 minutes a month, speaker labels, and SRT/VTT export after sign-in. Pro is about $19/mo for about 2,000 minutes. Plus is about $49/mo for about 5,000 minutes. Credits refresh each month. See pricing. There is no meeting bot and no public API. This step starts only after the file exists.
Step 5: Export the cleaner transcript or the SRT
Pick the file you actually needed:
| Need | Export |
|---|---|
| Quote cleanup or a case-study draft | TXT, DOCX, or PDF |
| YouTube or an embedded player | SRT or VTT |
| Premiere or another editor timeline | SRT, then check timing on the first minute |
| Internal notes you will still rewrite | TXT is enough |
Subtitle timing still needs your eyes. Play the first speaker change and the last 30 seconds. If names or jargon are wrong, fix them in the editor before you download again. Format primer: transcript format guide.
What to leave inside Fireflies
Do not delete the meeting because you made an SRT. The CRM row, the summary your team already shared, and the search other reps use should stay put. The File Transcribe copy is a working file for captions and cleanup. It does not write back to HubSpot.
If the only reason you opened Fireflies was to download media for this one file, you may be paying for a logger you do not use. That is a buying question, not an export question: Fireflies.ai review.
Mistakes that waste the export
| Mistake | Fix |
|---|---|
| Copying the summary and calling it a transcript | Download the audio or video and transcribe that |
| Transcribing a 40-second highlight | Download the full meeting media |
| Publishing captions from a private customer call | Keep the SRT internal unless you have permission |
| Re-buying a Fireflies seat to get SRT | Upload the file you already have |
| Ignoring speaker names | Rename them before the DOCX or SRT leaves the editor |
FAQ
Does this replace Fireflies?
No. Keep Fireflies when the call must log to the CRM. Use this path when you need a cleaner transcript or an SRT from the recording.
What if I only have the Fireflies transcript text?
Text pasted out of a notes panel is not a timed caption file. You need the audio or video. If Fireflies cannot download it, use the Zoom or Meet original from step 3.
Can I do this on a guest visit?
Yes for a try on the homepage. Sign in when you want the file saved and subtitle export on the free tier.
Will the SRT match Fireflies wording line for line?
No. You are generating a new timed transcript from the media, then editing it. Treat Fireflies text as a reference if a name was already corrected there.
Is there a bot-free way to do the next call?
Yes. Record in Zoom or Meet, download the file, upload it. Walkthrough: how to transcribe a Zoom meeting without a bot.
