Writing an SOP from a screen recording is how a click path leaves one person's head. The recording is the proof. The SOP is the steps, the owner, and the point where someone should stop and ask.
A customer-facing help doc from a sales demo is a different file: how to turn a product demo into a help doc. An SOP stays internal.
Direct answer
- Use a recording where someone narrates the clicks, or sit with the person who did.
- Transcribe the audio.
- Turn each real action into a numbered step with the menu name.
- Watch any timestamp where they said "here" and did not say the name.
- Add who may run the SOP, and when not to.
- Have a new hire follow it on a test account.
- File the SOP. Do not file the raw MP4 as the SOP.
Why the transcript will look useless at first
Screen recordings narrate like this:
"Okay so I'm just gonna hop into settings, and then it's this one, yeah, save."
That sentence is not a step. It is a pointer at a step. The SOP has to say which settings, which control, and what "save" changes.
If the mic was quiet and the transcript is mostly the video's own audio, you picked a bad source. A clean voiceover of the same screen is the file you want. Format notes for browser captures: how to transcribe a WebM recording.
Step 1: Get a file you are allowed to keep
Loom download, OBS export, a Zoom screen share, or a phone recording of a laptop you own. Upload it on File Transcribe.
Do not build an SOP by capturing a customer's private dashboard unless that customer agreed to the recording and the doc. Crop or redact anything that is only theirs before the transcript is shared.
A Loom-specific export is how to transcribe Loom videos.
Step 2: Transcribe, then rename the speaker
One narrator does not need speaker labels. Two people on a Zoom, where one drives and one corrects, do. Name them Driver and Reviewer so a correction is not written up as a step.
Free is about 50 minutes a month. A 12-minute SOP recording fits. Pro, about $19/month, matters when the same recording also needs an SRT for an internal course. Confirm on /pricing.
If this walkthrough happened inside a meeting and you also need the recap, that recap is meeting minutes. The SOP is what you keep after the recap is sent.
Step 3: One action per line
Write steps a person can do with the transcript closed.
Bad:
"Go in and fix the billing thing the way I showed."
Better:
- Open Billing.
- Choose the invoice dated this month.
- Set status to Void only if finance already approved it in the ticket.
- Stop if the invoice is already paid. Ask finance. Do not void a paid invoice from this SOP.
The second version can be wrong, and that is useful. A vague step cannot be wrong, so nobody can fix it.
Step 4: Watch the timestamps that have no nouns
Search the transcript for "this," "here," "that button," and "you know the one."
Open the player at that time. Write the label on the button. If the UI has no label, say where it sits ("the gear at the top of the invoice") and file a note to get the UI fixed. An SOP that depends on a mystery icon will rot on the next redesign.
Step 5: Add the lines people skip
Put these above the steps, in plain sentences:
- Who may run this
- What they need first (role, tool, approval)
- What this SOP does not cover
- Where the finished work is checked
A new hire with the steps and none of that will void the paid invoice.
Step 6: A person who was not in the recording follows it
Sit with them or let them fail on a test account. Every place they ask "which one?" is a missing noun. Fix the SOP. Do not add "see the video" as step 4. The video is the source, not the procedure.
When the UI changes, re-record that step or edit the line. Do not keep a 40-minute MP4 as the only current version. People will not watch it.
Where the recording goes after
Link the SOP to the transcript only if your wiki can keep both private. Do not drop the screen recording into a channel that includes contractors who should not see the customer rows that were on screen.
Guest uploads delete after 24 hours. If the draft has to survive the weekend, sign in. Details are on the privacy page.
FAQ
How do I write an SOP from a screen recording?
Transcribe the narration, replace "click here" with the control name, number the actions, and have someone who missed the recording follow the steps. Upload the file on the homepage.
Can the transcript be the SOP?
No. The transcript is how you remember the path. The SOP is the path with the chatter removed, plus who is allowed to run it.
What if nobody narrated?
You can still write the SOP, but you have to watch the whole recording and name each click yourself. Next time, narrate the menu names out loud while you record. The transcript gets cheaper.
Is a Loom enough to leave the team?
A Loom is a recording. People do not search Looms at 11 p.m. File the steps. Keep the Loom as the backup for the one step that is hard to describe.
Do I need captions on an internal SOP video?
Only if the video itself is how people will learn, and someone on the team needs captions. The written SOP does not need an SRT. If you do caption it, use Subtitles and export when your plan includes SRT or VTT.
Upload one narrated screen recording on File Transcribe. Write the steps from the nouns, then stop treating the MP4 as the process.
