How to transcribe Squadcast recordings starts after the session, not inside a meeting bot. Squadcast is a remote recording studio. Guests record locally. You leave with audio or video files. Transcription is what you do with the WAV or MP4 you actually downloaded.

The menus move. This guide will not invent the current button name. The job is stable: open the session you own, download the mix or the separate tracks, upload that file, then fix the words.

If your file came from Riverside or from a Vimeo library instead, use the matching click path: how to transcribe Riverside exports and how to transcribe Vimeo downloads.

How to transcribe a Squadcast recording

  1. Sign in and open the Squadcast session you recorded or were given rights to export.
  2. Download the mixed master, the separate tracks, or both. Expect WAV for audio and sometimes MP4 for video.
  3. Upload the file you care about to File Transcribe.
  4. Use speaker labels on a mix. Skip them on a single-person track.
  5. Rename speakers and correct names in the segment editor.
  6. Export text for notes, or SRT/VTT when the session is video you will publish.

A short session can fit the free allowance, about 50 minutes a month. A 40-minute episode plus another one the same month needs a paid plan: Pro is about $19 and about 2,000 minutes, Plus about $49 and about 5,000 minutes. Minutes are monthly. There are no credit packs. See pricing.

Squadcast is a studio, so the transcript is a file job

People lump Squadcast in with Otter because both touch "calls." They are different objects. A meeting bot joins Zoom and writes notes while you talk. Squadcast records a remote session on purpose, often with a local track per person, the way a podcast or an interview is produced.

You do not invite a notetaker into Squadcast to get a transcript. You download what the studio already saved. If a backup Zoom also happened, transcribe the Squadcast file. It is the cleaner capture. Two transcripts of one conversation is how names drift.

Show notes and episode text for this kind of recording sit under podcast episodes. A straight two-person interview uses the same upload either way.

Download the WAV or MP4 you own

Squadcast's labels change. Ignore any tutorial that swears the item is called one exact thing.

  1. Open the session from your account.
  2. Look for the download on that recording. You want files you are allowed to keep.
  3. Take the mixed file when you need one timeline of the whole conversation.
  4. Take the separate tracks when each person was recorded on their own file. Those are often WAV. A video session may also give you an MP4.
  5. Save them with dull, obvious names: the episode, then mix or the guest's name.

If you cannot find a download, assume you do not have export rights. Guests often see the room and not the files. Ask the host to send the WAV or MP4. Stop there. Do not try to pull the stream out of the browser.

Upload WAV and MP4 as they are. You do not need a conversion step for those. If a download arrives as something odd and the uploader rejects it, use the matching convert page, such as WAV to text or MP4 to text, only after you know the format.

Mixed session or separate tracks

Mixed WAV or MP4

Speaker labels
On
Why
Several voices in one timeline. You will rename Speaker 1 and Speaker 2

One participant's track

Speaker labels
Off
Why
You already know who it is. Diarization will hunt for a second voice that is not there

The clean track, because the mix is ruined

Speaker labels
Off, then name it yourself
Why
Isolation was the point. Do not blend it back into a guess

Separate tracks help labels more than any setting does. The host file is the host. The guest file is the guest. You can transcribe each, keep the quotes, and skip the places they talked over each other. The mix is still the right source for a single caption file, because the timestamps follow the episode people will watch or hear.

Crosstalk on the mix will look wrong. Overlap, two similar voices, a guest on a laptop speaker: expect merged lines. Replay the sentence before you publish it. Switching transcription apps does not unsmear that second of audio.

Upload and edit

On File Transcribe, drop the file on the homepage. Guest try is enough to see the draft. Sign in to keep it and to export SRT or VTT.

Then edit in this order:

  1. Play the opening until you are sure who is speaking.
  2. On a mix, rename the labels once in the segment editor. Do not retype the name on every line.
  3. On a solo track, leave a single speaker. If the draft invented Speaker 2, fold that back to the person who owns the track.
  4. Fix personal names, product names, and numbers you will repeat in show notes.
  5. Leave muddy overlap unmarked rather than inventing a clean quote.

The hands-on version of renaming and splitting is how to add speaker labels to transcripts. Read that if the mix is a panel. For a calm two-person episode, the rename is the whole pass.

Squadcast may include text or AI notes on some plans. Confirm that on squadcast.fm, because it changes. An in-product draft is fine for a private skim. Download the WAV or MP4 when you need a transcript you can edit, store, and turn into captions outside Squadcast.

After the transcript

  • Episode page or newsletter: copy from the editor, or export TXT or DOCX.
  • Video version of the session: export SRT or VTT from the mix, or from the final cut if you still plan to delete a chunk.
  • A quote you are nervous about: play that timestamp. The label is a hint, not a witness.

If you record some episodes in Riverside and some in Squadcast, keep one transcript desk. The studios differ. The upload does not. Riverside's export clicks are in how to transcribe Riverside exports.

FAQ

How do I transcribe a Squadcast recording?

Download the mixed file or the separate tracks from the session you own, then upload the WAV or MP4 to File Transcribe. Rename speakers, then export text or captions. The button names inside Squadcast move, so follow the download you are allowed to keep.

Should I use the mix or the separate tracks?

The mix when you want one transcript of the episode. Separate tracks when you need reliable speaker names or one person's audio is bad in the mix. Caption timestamps should follow the file you will publish.

Does a meeting bot belong in a Squadcast session?

No. Squadcast is the recorder. A notetaker is for a live meeting somewhere else. Transcribe the studio file you downloaded.

What if I was only a guest?

If your account cannot download the session, you do not have the recording. Ask the host for the WAV or MP4. Do not pull it out of the player.

Can I get SRT from a Squadcast video?

Yes, after you upload the MP4 you downloaded and export SRT or VTT. That file is what you attach where the video is published.

Do this next

Open one finished Squadcast session, download the mix or a single clean track, and upload it on the homepage. Name the speakers before you rewrite anything. The sibling downloads, if your files live somewhere else, are Riverside exports and Vimeo downloads.
