Best transcription software with speaker diarization is a buying choice. You want a product that splits a recording into who spoke when, and a sane way to fix the names when the split is wrong.
The idea itself is already written up. What is speaker diarization is the glossary. How to add speaker labels to transcripts is the edit pass. This page is which product to pay for.
Here is the short buy:
- You have a multi-speaker file and you will fix the labels yourself: File Transcribe.
- Otter or Fireflies was already on the live call: keep that transcript.
- A person has to listen because the tape is a mess: Rev human transcription.
None of these are clean when people talk over each other. Crosstalk still merges lines and flips names. Budget a listen on any sentence you will quote.

What you are paying for
Speaker diarization on a consumer invoice is clustering inside one file. The draft says Speaker 1 and Speaker 2. You rename those to Alex and Jordan. It is not a voice database of your company, and it is not a promise the model saw the org chart.
That is worth paying for on interview recordings, a two-guest podcast, or a panel where you need to know who owned the sentence. It is a waste on a solo voice memo. It is also the wrong thing to promise on a recording where three people argue at once. You can still transcribe that file. You cannot honestly say the labels arrived finished.
1. File Transcribe: upload the file, fix the labels
File Transcribe is the buy when the recording is already a file. A Zoom cloud MP4, a phone M4A, a studio WAV, a podcast mix. Drop it on the homepage. Leave speaker labels on if more than one person talks. The draft comes back in segments. In the segment editor you play the line, rename Speaker 1 once, and split the place where two voices got glued together.
Guest try is there so you can hear a real multi-speaker file before a subscription. Sign in to keep the transcript. Export TXT or DOCX for notes. Export SRT or VTT when the same recording needs captions. There is no meeting bot. If the other person banned notetakers, you still have a path: download the cloud recording, then upload it.
Minute math is boring and useful. Free at about 50 minutes a month covers a short interview test. It does not cover a weekly hour-long panel. Pro at about $19 and about 2,000 minutes is the normal plan for people who label a few conversations a week. Plus at about $49 and about 5,000 minutes is the heavier month. Check the current caps on pricing.
Where it loses: you do the rename. Nobody joins the call to take live notes. Overlap still looks ugly, and a second AI vendor will not politely unstick two voices on one laptop mic. If the session was recorded as separate participant tracks, start there. One voice per file is easier to name than a mix. The download click path for a Riverside session is how to transcribe Riverside exports.
One person whose week is a client Zoom, a Reel, and a podcast should not "upgrade" into team seats just to get speakers. That buying list is best AI transcription software for solopreneurs.
2. Otter: keep it when the bot was on the call
Otter earns the money when Otter already joined the meeting. You allowed the notetaker, people mostly took turns, and the notes live in Otter. Speaker labels came along with that recap. Rename the ones you will paste into minutes, then stop shopping.
That is a different product from "I have an MP4." Otter can take uploads on some accounts. Confirm what yours includes. On this list, the reason to pay Otter is the live call it attended. If no bot was invited, you are looking at an upload desk, and File Transcribe is the simpler buy.
Otter still mishandles interruptions. A sentence two people share will land on one name. Treat that line as unverified until you replay it. Skip Otter for a studio podcast, a client who blocks bots, or a job whose main deliverable is an SRT in a video editor. Longer side-by-side: compare Otter.
3. Fireflies: keep it when the team call has to stay in that archive
Fireflies is the other live-call buy, narrower than Otter. The bot joined a sales or customer meeting, and the transcript has to remain in that team's call archive. You are paying for the notetaker and the workspace. You are not paying for a magically cleaner speaker split than the file tools.
Do not buy Fireflies seats to diarize one interview. Seats assume a group. A solo podcast upload will not grow a better Speaker 2 because you started a team trial. File upload exists in the product. It is not why this row is on the list. Confirm the current plan on their site. If you want the product argument in more detail, compare Fireflies.
4. Rev: a person labels the messy tape
Rev human transcription is the buy when you should not trust automatic speakers at all. A bad room, constant crosstalk, a panel, audio you would not put under someone's name without a human listen. You send the file. A person attributes the turns. Confirm turnaround and price on Rev before you upload. Their AI tier is a cheaper, faster draft. This row is the human job.
Choose the human pass when a published quote cannot be your guess, or when someone else requires a person to have heard the tape. Skip it when two people took turns on decent mics and you are willing to spend a sitting in the segment editor. Per-minute human work adds up on ordinary interviews. The longer pricing context is File Transcribe vs Rev. Rates change, so read Rev's page, not a blog's memory of it.
A human can mark the overlap or keep the clearer voice. Two people on the same second are still not a studio multitrack.
A simple way to decide
Start from the object on your desk.
The object is a file, and more than one person talks: File Transcribe, labels on, rename in the editor. Turn labels off if you are the only voice.
The object is a meeting a bot already captured: stay in Otter or Fireflies. Copy out what you need. Upload the same recording only when you need caption files or an edit pass the bot notes do not give you.
The object is a recording you would be embarrassed to label by model: stop, and send it to a human at Rev. A different subscription will not invent a clean boundary under two voices at once.
Capture beats software. A host track and a guest track from a remote recorder are easier to name than a laptop in a kitchen. Diarization is a helper after the mics, not a substitute for them.
The limit nobody should hide
Crosstalk is the break. Similar voices, a far mic, one-word interruptions, and a TV in the background do the same kind of damage. Every product above will merge turns or invent an extra speaker. The glossary lists those failures in what is speaker diarization. The repair steps, rename then split then merge, are in how to add speaker labels.
Leave a muddy middle unnamed rather than guessing a person into the record. For interview files, the upload path is interview recordings.
FAQ
What is the best transcription software with speaker diarization?
For a file you will correct yourself, File Transcribe. For a live call the bot already joined, Otter or Fireflies. For a messy tape a human must label, Rev. There is no single accuracy crown, and none of them are reliable on crosstalk.
Does speaker diarization work when people talk at the same time?
No. Overlap is the usual failure. Expect merged lines and swapped names. Replay those seconds before you quote them. Separate microphones reduce the mess more than a different plan does.
Can I change Speaker 1 to a real name?
Yes. In File Transcribe you rename the label in the segment editor and later turns follow. Otter and Fireflies keep names on the bot transcript. Use the name field in the product you already pay for, and confirm the current control there.
Should every transcript have speaker labels?
No. A solo Reel, a voice memo, or a lecture with no questions is cleaner as one voice. Turn labels on for interviews, panels, and guest podcasts.
Do I need a meeting bot to get speaker names?
No. A bot is how you capture a live call when everyone agrees to it. An uploaded file with speaker labels is the other route. If bots are banned, download the recording and upload it.
Do this next
Pick one multi-speaker file you already own. Upload it on File Transcribe with speaker labels on, and rename the first two voices. If the overlap block is nonsense, that is the ceiling, not a broken invoice. Monthly minutes are on pricing.
If the rest of your week is a Reel and a podcast and you work alone, read best AI transcription software for solopreneurs before you add a seat.
