The best Google Workspace transcription stack is not one Google feature. Meet transcripts, Drive recordings, and voice typing in Docs solve different problems. People mash them together, then wonder why a Meet MP4 never became a caption file.

This page is the stack. Meet-only rankings live in best Google Meet recording transcription and best transcription software for Google Meet. The upload page is Google Meet.

Workspace editions change what is included. Confirm Meet transcription and Gemini on your edition before you promise it to a team.

The stack that covers real work

  1. Meet for the call, with recording on when policy allows.
  2. Drive as the place the MP4 actually sits.
  3. File Transcribe when you need editable text, real speaker names, or SRT/VTT from that MP4.
  4. Docs for the written notes you paste after the transcript is checked, or for live dictation of something you are composing.

Gemini meeting notes, where your edition includes them, are a recap. Same rule as any summary: check numbers against the transcript before you send them out.

1. Meet transcript: best during an internal meeting

On editions that include it, Meet can caption the call and sometimes save a transcript. That is the right layer for "what did we just decide" while everyone is still in the tab.

It is a weak layer for a customer research recording you must quote, or for a webinar you will caption on your site. Export quality and speaker names vary. If the transcript is missing, do not keep clicking. Go get the recording.

2. Drive recording + File Transcribe: best after the meeting

Recordings usually land in the organizer's Drive. Download the MP4. Upload it on the File Transcribe homepage. You get segments, speaker labels, and exports. Pro is $19/mo and includes SRT/VTT (/pricing).

Pick this path if Meet transcription was off, the names are wrong, or you need a caption file. Skip it if the in-Meet transcript is already good enough and nobody will reuse the video.

No bot joins the call. Download steps: how do I download a Google Meet recording for transcription · how to transcribe Google Meet without a bot.

3. Docs voice typing: best when you are writing, not transcribing

Voice typing in Google Docs is dictation. You talk, a Doc fills in. It is good for a memo you are composing at your desk.

It will not transcribe the Meet recording from Drive. People ask this every month. The answer is still no. Longer version: can Google Docs transcribe an audio file.

4. Otter or Fireflies: optional, and outside the Workspace admin model

You can send a bot to a Meet. It will not live in the Admin console the way Meet does. For a company that standardized on Workspace, that second vendor is a security conversation, not a default.

Internal standups that already use a bot can keep it. Client calls and research calls should be recorded by Meet, then transcribed from the file. Privacy risks of AI meeting bots.

FAQ

What is the best transcription stack for Google Workspace?

Record in Meet, store the file in Drive, and upload it to File Transcribe when you need an editor or SRT/VTT. Use Docs voice typing only for live dictation into a document.

Can Google Docs transcribe a Meet recording?

No. Voice typing uses the mic. Transcribe the downloaded file in a tool that accepts uploads.

Where is the Meet recording?

In the organizer's Drive, often under Meet Recordings, and linked from the calendar event or the meeting chat history. If it is missing, recording was off or an admin blocked it.

Do I need a bot if I have Workspace?

No. Native recording plus a file upload covers the transcript. A bot is an extra copy of the meeting.

Can I caption a Meet recording for YouTube?

Yes. Download the MP4, edit the transcript in File Transcribe, export VTT or SRT, and upload the captions in YouTube Studio. How to export VTT captions for YouTube.

Download the Drive MP4 once

Take one Meet recording you already have and upload it on File Transcribe. If the native Meet transcript was enough, you will see that in five minutes. If the names are wrong, you are already in the editor that can fix them.
