You can transcribe a Google Meet call without a bot. Record the meeting (or use one already saved to Drive), download the file, upload it, and edit the transcript in the browser. No third-party notetaker appears in the participant list. No Workspace admin has to approve an extension for the whole org.

That path matters for client calls, legal-sensitive conversations, and teams whose Meet admin already blocks unknown extensions. Here is the clean workflow with File Transcribe in 2026.

Why skip the meeting bot on Google Meet

Bots are convenient until they are not:

  • Clients and partner orgs refuse unrecognized participants
  • Workspace admins restrict third-party extensions and calendar integrations
  • The meeting already happened and you only have the Drive MP4
  • You need SRT/VTT, not another meeting-notes workspace

Upload-first transcription solves those cases. A live bot still wins for internal standups where everyone already expects auto-join. Different jobs. See best AI meeting note takers and the sibling workflow for Zoom without a bot.

Step 1: Record the Meet, or find the existing recording

During the meeting

  1. Start (or join) the Meet as someone with recording rights (organizer, or same organization on a plan that includes recording).
  2. Open Activities or the three-dot menu and look for Record meeting (labels move over time).
  3. Tell participants you are recording. Consent is not optional.
  4. Stop recording when the call ends, or end the meeting and let Meet stop it for you.

After the meeting

  1. Open Google Drive.
  2. Go to the Meet Recordings folder, usually under the organizer's My Drive.
  3. Wait for processing to finish. You typically get an MP4, sometimes a separate audio file.
  4. Or open the email Meet sends with the recording link.

No file in Drive means no upload path yet. Fix permissions or ask the organizer to share the recording before you evaluate any AI tool. Full detail on this step: how do I download a Google Meet recording for transcription.

Step 2: Download the MP4 or M4A

  1. Right-click the recording in Drive and choose Download.
  2. Prefer the MP4 if you want video context while editing names and timing.
  3. Prefer M4A or an audio-only export if you only need speech-to-text and a smaller upload.

Keep the meeting date in the filename so you can match it back to the calendar invite later.

Step 3: Upload to File Transcribe

  1. Go to File Transcribe or /transcribe/google-meet.
  2. Drop the MP4 or M4A. Guest try works without signup (daily caps apply).
  3. Pick a language or leave auto-detect on.
  4. Enable speakers if several people talked.
  5. Start transcription.

You get speaker-labeled segments with timestamps. Click a line to jump playback while you fix names and crosstalk.

Step 4: Edit what matters

Spend your time on:

  • Proper names and product terms
  • Speaker labels (Host vs Client, or real names)
  • Garbled sections from crosstalk or a bad connection

Skip obsessing over every filler word unless the transcript is going external.

Step 5: Export notes or captions

  • TXT / DOCX / PDF for notes and minutes
  • SRT / VTT after free signup, if the Meet recording is becoming a published video

Need captions burned into the MP4 itself? Export SRT first, then attach it in your editor or host. Related: what is a VTT file.

Google Meet native transcripts vs upload

Google Workspace has native transcript and note-taking features on some plans, gated by admin settings and SKU. If your org already has that enabled and the output is good enough for internal use, use it. If you need a portable, editable file with clean captions, or your plan does not include native transcripts, upload the recording instead.

Tips for cleaner Google Meet transcripts

  • Ask people to mute when they are not speaking; crosstalk is the accuracy killer
  • Prefer a headset mic over laptop speakers in a shared room
  • Download the audio-only file when picture does not matter
  • Same idea works for other saved voice audio, like Telegram voice messages

FAQ

Can I transcribe Google Meet without Otter or Tactiq?

Yes. Record in Meet, download the file from Drive, upload it to File Transcribe. No bot required.

Does File Transcribe join my Google Meet call?

No. It never joins live meetings. You bring the recording after the fact.

Is a Google Workspace paid plan required?

Recording rights are usually gated by Workspace plan and admin settings. If Record is missing, ask a host with recording enabled, or use a different capture method with consent.

Can I get SRT captions from a Meet MP4?

Yes. Transcribe the file, sign in free, export SRT or VTT.

What about Zoom or Teams?

Same pattern: download the recording, upload the file. Zoom guide: how to transcribe a Zoom meeting without a bot.
