AI note takers for consultants have to survive a client who did not buy your software stack. You are a guest on their Zoom, or they email you a recording after the workshop. The note taker that joins as a participant is the one their IT will kick, sometimes mid-sentence. The deliverable is still a recap a partner can send.
Coaches keeping private session notes are a different page: transcription software for coaches. Founders on investor calls are another: AI note takers for founders. This list is the consulting firm problem: several stakeholders, a written follow-up, and a recording you may not have made yourself.
A workshop that happened in a community Discord still ends as a file. Transcribe it from Discord recording to text, then write the recap from that text. Do not install a bot in the client's server to find out.
Quick picks
| Tool | Best consulting job |
|---|---|
| File Transcribe | The client sent the recording, or you recorded locally. You will write the recap. |
| Granola | You are allowed to take notes on your machine, and you want them cleaned up |
| Fellow | Your own firm already runs agendas, and the client call is one meeting among yours |
| Fireflies | Your firm sells a CRM trail, and the client has agreed to the bot |
| Rev | The recap will be quoted in a board paper and a wrong number is expensive |
1. File Transcribe: best when the recording arrives as a file
The common consulting path: the client records, legal is happier, and on Monday you have an MP4. File Transcribe is built for that Monday. Upload, label Consultant, Sponsor, and the operators by role, not by a guessed first name if several people share one. Export the text. Write the recap from the decisions and the open questions.
You can also record locally on a call where a bot was refused, then upload that file the same way. Nothing joins. Guest upload is fine for a test. Client work belongs on an account you control. Free is about 50 minutes a month, which is one short meeting. Pro is about $19/month for about 2,000 minutes. Plus is about $49/month for about 5,000 minutes, which is the plan that also includes API access if you later wire a delivery pipeline. SRT and VTT are on Pro and Plus, useful when the workshop becomes a clip the client asked to publish. Confirm on /pricing.
Pick File Transcribe if the source is a file and the recap is a document you sign with your name. Skip it if you wanted the notes to appear before you hang up. This product waits for the upload.
A sales-shaped cousin, if the "consulting" is actually discovery calls logged to a pipeline, is when a transcript is enough and Gong is not. Most client workshops are the transcript case.
2. Granola: best notes while you are allowed to sit in the meeting
Granola captures audio on your laptop and enhances the notes you type. No bot tile. That fits a workshop where you are present and typing anyway. It does not fit the MP4 that shows up from a meeting you did not attend, or a junior consultant who was not the one running Granola.
Basic is free with about 30 days of history. Business is listed at $14 per user per month. Confirm on Granola pricing. If the engagement file has to exist next quarter, the free history window is the wrong archive. Export the note, or pay for the longer history, or keep the transcript in your own project folder.
Pick Granola if you are in the room and the note is for you. Pick File Transcribe if the firm needs one transcript the whole project team can open, including people who were not on the call.
3. Fellow: best inside your firm, not inside the client's security review
Fellow is strong when the consulting firm's own meetings have agendas, templates, and action items. It is a hard sell as the thing you install on the client's tenant. Use it for internal debriefs. Do not make the client create a Fellow workspace to receive notes.
Pricing starts from a small free allowance and a Team plan listed around $7 per user per month on annual billing. Confirm on Fellow pricing. Alternatives if Fellow is too much system: Fellow alternatives for meeting notes.
4. Fireflies: best when the client agreed to a bot and the firm lives in a CRM
Fireflies earns a seat in consulting firms that run sales or customer success like a pipeline, and whose clients have accepted a notetaker. Implementation partners, agencies with a CRM, fractional executives who log every working session. It does not earn a seat on a first workshop with a bank.
If you cannot say "Fireflies will join" in the invite, you cannot use it on that call. Record natively instead. Review: is Fireflies worth it.
5. Rev: best when the document will be quoted
Rev is the human pass. A strategy paper that quotes the CFO's numbers, a public case study, a transcript the client's counsel will read. AI is the wrong place to save forty dollars and ship a wrong figure. For the other twenty hours of workshops in a month, AI plus your own read is the sane cost. Confirm Rev's per-minute price on their site.
How consultants should write the recap
The note taker does not send the email. You do.
- Decisions, in the words the room used.
- Open questions, with an owner if one was named.
- What you will do before the next meeting.
- What you need from them.
Leave the banter out. Leave the model's "key insights" out unless you would say that sentence in your own voice. If a summary contradicts the transcript, the transcript wins. Check the number before it hits a slide.
Do not auto-mail the recap to every attendee from the note taker. Distribution is a judgment call. The sponsor, the operators, and the people who were only on for a demo are not the same list.
FAQ
What is the best AI note taker for consultants?
File Transcribe when you have the client's recording or a local file. Granola when you take notes live without a bot. Fellow for your firm's internal meetings. Fireflies only after the client has agreed. Rev when the quote has to be human-checked.
Can I use a meeting bot on a client call?
Only if the invite says so and their rules allow it. Many consulting engagements ban it. The backup is the client's recorder or yours, then an upload. Ask in the kickoff, not at minute three when the bot is already in the lobby.
How should a consulting transcript be stored?
In the project folder with the same access as the recording, under the client's contract. Not in a personal consumer account, not in a chatbot you pasted "for a cleaner draft," and not in a filename that includes the confidential project codename plus a public email share link.
Do consultants need speaker labels?
Yes, as soon as more than two people talk. A recap that says "the team wants to slip the date" is useless when three people disagreed and one of them can actually slip the date. Label Sponsor and Operator at the start.
Upload the workshop file on the homepage. Write the recap from the decisions. If the session was a one-to-one coaching hour rather than a client project, use the coaching call steps instead.
