Best AI caption tools for accessibility are the ones that produce a caption file a deaf or hard-of-hearing viewer can turn on, with words you actually checked. Pretty auto-captions on a TikTok are a different job. So is a full WCAG audit of your website.
This list is for prerecorded video: courses, YouTube, webinar replays, and product demos. The output that matters is a soft SRT or VTT you can fix before publish. Checklist for the video itself: WCAG captions checklist. Course workflow: how to make course videos accessible with captions.

Quick picks

| Happy Scribe | Subtitle studio plus optional human review |
| Rev | Human captions when the words cannot be wrong |
| Descript | Captions inside a text-based edit, if you already cut there |

What "accessible captions" means on this list
A tool earns a spot if you can:
- Generate a timed draft from a file you already have
- Fix names, numbers, and jargon before anyone else sees them
- Export a caption track the viewer can toggle
- Keep the video file itself unchanged
Burned-in text fails the toggle test. Live meeting captions fail the "I have a finished MP4" test. Both can be useful. They are not this ranking.
Format basics: best subtitle and caption tools · what is a caption file.
1. File Transcribe: best when the master file is the source of truth
File Transcribe is upload-first. Drop the finished MP4, MOV, or audio master on the homepage. You get a transcript with timestamps, fix it while the media plays, then export SRT or VTT on Pro.
Pick it if accessibility captions are a file you will attach in YouTube Studio, an LMS, or an HTML5 player. Skip it if you need a human to sign a caption file for a regulated broadcast, or you need captions burned into a 9:16 social cut in the same click.
It does not join meetings. It does not claim your site is WCAG conformant because you exported an SRT. You still proofread.
Try a short lesson or demo first. If the edit pass on names is tolerable, run the rest of the library. Batch habits: how to caption an entire course library.
2. YouTube Studio: best when the video already lives on YouTube
YouTube automatic captions are free and already timed to the player. For a personal vlog with clean audio, editing them in Studio can be enough.
They are a weak master. You cannot easily reuse the track on your course site. Proper nouns drift. Music and crosstalk get worse. If the video is public-facing and people rely on the words, treat Studio auto captions as a draft or replace them with an uploaded SRT.

3. Happy Scribe: best when captions are a team workflow
Happy Scribe is built around subtitle projects, style rules, and an optional human pass. That fits a localization desk or a company that captions every week.
It is more product than a solo creator needs for one webinar replay. Compare the upload path: File Transcribe vs Happy Scribe.
4. Rev: best when a person must stand behind the words
Rev's human captions and transcripts cost more per minute than AI. Use them for legal notices, medical explainers, ads with claims, and any video where a wrong number is a real problem.
AI on File Transcribe or YouTube is the wrong tool for that bar. Rev's AI tier is a cheaper draft. Confirm which product you are buying on rev.com.
5. Descript: best when you are already editing the picture there
Descript can caption a timeline you cut in Descript. If the accessible version is an export from that project, stay in the tool.
If the accessible version is a master from Premiere, a webcam, or a Zoom export, do not move the whole project into Descript just to get an SRT. Upload the master to File Transcribe instead. Worth-it frame: is Descript worth it.
What to ignore for accessibility
| Tempting option | Why it misses |
|---|---|
| CapCut / Reels auto text | Burned in, hard to correct, no off switch |
| Live Zoom or Meet captions | Gone when the call ends unless you saved a recording and a transcript |
| A raw transcript with no timestamps | Screen readers and players need timed cues, not a Word doc |
| "98% accurate" marketing | Accuracy follows the audio. You still read the names. |
Automatic captioning, as a category, is covered in best automatic captioning software. This page is the accessibility cut of that category: toggleable, proofread, file-based.
A short accuracy bar before you publish
Read the captions with the sound off for the first two minutes and for any minute that has names, prices, or steps. If you cannot follow the procedure, the captions are not accessible yet. They are decoration.
Speaker changes: add a label only when the viewer cannot tell who is talking. A single host rarely needs "Speaker 1" on every line. How to fix the transcript side first: how to add speaker labels to transcripts.
FAQ
What is the best AI caption tool for accessibility in 2026?
For a prerecorded file you can proofread, File Transcribe is the default: upload the master, edit, export SRT or VTT. Use YouTube Studio when the video is already on YouTube and the stakes are low. Use Rev human captions when the words must be certified.
Are AI captions enough for WCAG?
They can satisfy the practical need for captions on prerecorded video only after a human checks them. WCAG success criterion 1.2.2 is about captions, and your player, pages, and other criteria still matter. Run the captions checklist. Official text: W3C understanding captions (prerecorded).
SRT or VTT for accessibility?
Either, if the player accepts it. SRT is the file YouTube Studio and most editors expect. VTT is the usual HTML5 track. Pick the one your player documents.
Do burned-in captions count?
Viewers cannot turn them off, and you re-export the video to fix a typo. Keep burned-in text for social cuts. Keep a soft caption file as the accessible master.
Can I caption a video without putting it on YouTube first?
Yes. Upload the master on the File Transcribe homepage and export SRT or VTT before the video is public.
Export one proofread caption file
Upload the finished video on File Transcribe. Fix the names, export SRT or VTT, and attach that file in the player your audience actually uses. Plans: /pricing.
