How to caption an entire course library is operations. One lesson is a how-to. Eighty lessons is a queue, a naming scheme, and a rule for which mistakes you fix before students see them.
The single-video method still applies: how to make course videos accessible with captions. Tool choice for creators: best AI tools for course creators. The pass/fail on each file: WCAG captions checklist for video.
What "the library" includes
List every video a student might open:
- Lessons and explainers
- Welcome and orientation
- Office hours or webinar replays you left in the course
- Trailers, if they live inside the member area
Leave out ads that only exist as burned-in social posts. Those are a different export.
Write the list in a sheet: lesson id, title, duration, file location, caption status. If you cannot find the master, you are about to caption the wrong export.
Step 1: Pilot one average lesson
Do not start with the trailer and do not start with your hardest guest interview. Pick a typical 8 to 15 minute lesson.
- Upload the master on File Transcribe (homepage).
- Fix product names and any step the student must follow.
- Export SRT, or VTT if the player requires it. Subtitle export is on Pro (/pricing).
- Attach it in the course host.
- Watch the first two minutes and one minute in the middle with sound off.
Write down how long the edit took. Multiply by the library. That number is the project. If it is absurd, the audio is the problem (music under the whole lesson, two people on one laptop) and a faster app will not save you.
Step 2: Freeze the master
Caption the file you will actually publish. If you still plan to cut the ending, you will throw the captions away.
Name files so a stranger can match them:
`module-03_lesson-02_pricing-page.mp4` `module-03_lesson-02_pricing-page.srt`
Same base name. The sheet gets a status: not started, drafted, attached, spot-checked.
Step 3: Run the queue in batches you can check
Work one module at a time. For each lesson:
- Upload and generate the draft
- Fix the glossary words you listed in the sheet (product name, framework name, your name)
- Export the caption file next to the video
- Attach it before you start the next module
A glossary list of 15 words, pasted where you can see it, beats "be careful" as a note to yourself or a VA.
Speaker labels belong in the transcript when there is a guest. They belong in the captions only when the student cannot tell who is talking. How to add speaker labels to transcripts.
Step 4: Spot-check instead of pretending you watched all 80
You will not deeply proof 30 hours. Decide the bar in advance.
| Lesson type | Check |
|---|---|
| Core lesson with steps | First two minutes, plus every minute that shows a click-by-click |
| Talking-head story | First minute and one random minute |
| Guest interview | Every quote you also used in sales copy |
| Orientation | Full short video, because it is short |
Anything with a price, a dose, a legal line, or a safety step gets a full listen. Everything else gets the sample. Log the sample in the sheet so "done" means something.

Step 5: Confirm the player once per host
If the course sits on one platform, the pilot proved the format. If you also publish to YouTube or an app, repeat the attach step there. A perfect SRT that the app ignores is an unfinished lesson.

What not to do with a library
- Burn captions into every lesson "so it always works." You will re-encode the archive to fix one term.
- Turn on auto captions and announce that the course is accessible.
- Give the whole library to a contractor with no glossary and no spot-check.
- Caption the rough cuts in a downloads folder that is not what students see.

FAQ
How do I caption an entire course library?
Inventory the videos, pilot one lesson end to end, name caption files to match masters, batch by module, and spot-check against a written bar. Attach soft SRT or VTT in the player.
How long does a course library take?
Edit time from the pilot times the number of lessons, plus attach time. A clear solo voice is much faster than a noisy interview. Measure your pilot. Do not trust a generic "minutes per hour" from a blog.
Can I reuse one transcript style across lessons?
Yes. Same name spelling, same caption format, same rule for speaker labels. Write those three rules at the top of the sheet.
What if some lessons are only on YouTube?
Download or export the master if you have it, caption that, and upload the SRT in Studio. Auto captions can be the draft only when you no longer have a master, and you should still read them.
Does File Transcribe upload a whole library in one click?
You upload files and export captions per recording. There is no course-host sync. The sheet is the batch system. YouTube and Drive import are not the way to run this.
Finish one module before you announce it
Pilot a lesson on File Transcribe, then caption the rest of that module and attach the files. Tell students a module is captioned only after the spot-check column says so.
