Turning a meeting transcript into action items is an editing job. The transcript is the source. Action items are decisions you are willing to put in a tracker. AI summaries can draft the list. They also invent owners, skip the one uncomfortable task, and merge two different "we should" comments into one fake commitment.

- Skim for verbs that bind someone: ship, send, review, decide, follow up.
- Write each item as owner + task + due date + timestamp.
- Drop anything that was only a suggestion.
- Paste the list into the tracker the team already uses. Do not create a second source of truth.
What counts as an action item
Use a hard test: would you put this in Linear, Asana, or a shared doc with a name next to it?

- "I will send the pricing sheet by Thursday."
- "Priya will revise slide 6 before the customer call."
- "We decided to cut the beta waitlist. Alex owns the changelog."
Drop
- "We should think about onboarding."
- "Someone ought to look at analytics."
- Recap sentences with no owner.
If you cannot name an owner from the recording, it is not an action item yet. Put it in a parking lot, not the sprint.
Step 1: Start from a real transcript, not only a summary
Summaries hide the sentence that actually assigned the work. Open the full transcript.

Step 2: Search, then confirm on audio
Search the transcript for:
- will / I'll / I can
- by Friday / next week / EOD
- action / follow up / send / ship / fix
- decided / agreed / going with
Click the timestamp and listen to five seconds. AI drops "not" more often than you want on commitments.
Step 3: Write items in one format
Use the same line shape every time:

The timestamp is how you settle arguments later. Without it, people rewrite history in Slack.
Step 4: Separate decisions from tasks
A decision is not a task.
- Decision: "We are not adding SSO this quarter."
- Task: "Maya updates the pricing page to remove the SSO teaser. Friday. 00:41:10."
Put decisions at the top of the notes. Put tasks in the tracker. Mixing them is how decisions get "assigned" to nobody.

The transcript can stay in File Transcribe as the archive. The action list should not live only inside a meeting-bot workspace your client cannot open.
Using AI without getting lied to
AI is good at a first pass. It is bad at politics.
- Ask it for candidates, then delete anything without an owner.
- Never accept a due date the model guessed.
- If two people talked over each other, listen. Do not let the summary pick a winner.
