A transcript is useful until you paste it into a shared drive, a Slack thread, or a vendor ticket with a Social Security number still sitting in plain text. How to redact sensitive info from transcripts is a practical editing skill: find the risky strings, replace them with clear placeholders, and only then share.

What "redact" means here

Redaction means removing or replacing text so a reader cannot recover the sensitive detail from the shared file. It is not the same as deleting the original recording. Keep originals under tighter access if your retention policy requires them. Share a cleaned copy.

Good redaction is boring and consistent:

You will not catch everything with a single keyword search. People say "nine digits" instead of "SSN," or spell a salary as "one eighty base." Read with the audio when stakes are high.

Before you redact: decide the audience

Ask three questions:

  1. Who needs this file? Hiring panel, outside counsel, marketing, a contractor?
  2. Do they need verbatim quotes? Scorecards often need candidate wording. Public case studies almost never need real names or pay numbers.
  3. Is a summary enough? Sometimes a one-page debrief without a full transcript is safer.

If the audience is wider than the people who already heard the call, redact first.

Step-by-step redaction workflow

1. Work on a copy

Never redact the only copy of a transcript you may need for a formal process. Duplicate the file. Name it clearly: `interview-2026-09-17-REDACTED.docx`.

2. Generate or open the transcript
