How to export a transcript to Google Docs assumes the transcript already exists. You want it in a Doc so an editor can comment, suggest, and share a link. That is a paste job. It is not "can Google Docs transcribe this audio."
Docs cannot open your MP3 or MP4 and return a timed transcript. Voice typing listens to a microphone. If that was the search, stop and read can Google Docs transcribe an audio file and Google Docs voice to text. Official Docs home: docs.google.com. This guide starts after the words are already in a transcription tool.
Editors who live in Microsoft Word should use the sibling steps instead: how to export a transcript to Word. Same text, different share model.
What you are handing over
A Google Doc of a transcript is for humans who were not in the editor. They need:
- Speaker names, not Speaker 2
- The lines they will query
- Suggesting, so a rewrite is a proposal
- Comments, so "who said this?" does not get typed into the quote
They do not need the Doc to play the audio. Keep the original transcript open in File Transcribe while they edit. Timestamps in the Doc are signposts. The click-to-listen copy stays in the transcription tool.
Step 1: Finish names before you paste
Fix speaker names and the words you already know are wrong. Product names. The person who was mis-labeled. A paste is a copy. Every "Speaker 1" you leave behind becomes twenty comments.
In File Transcribe, rename speakers, click a doubtful segment, and listen. Then export. If the recording was a panel, do the name pass in how to separate speakers on a panel recording first. A Doc will not sort that out.
Step 2: Copy, or download a text file
Open the export menu on the transcript.
- Turn Include speaker labels on.
- Turn Include timestamps on if the editor will refer to moments ("the claim around 12:04"). Turn them off if the Doc is a clean read for publication and the times would clutter it.
- Copy text if Docs is already open. Paste is the shortest path.
- Plain text (.txt) if you want a file you can drop in Drive or hand to someone who should not touch your account.
- Word (.docx) if you might also need Word later. You can upload that DOCX into Drive and open it as a Doc. The Word-native styling pass is the Word export guide.
SRT and VTT are captions, not a Doc. Do not paste a caption file and hope the editor can read cue numbers.
Guest and free accounts can get text out. Caption formats are a paid feature. The minute balance and plan gates are on pricing. Confirm before you promise SRT to someone who asked for a Doc. They asked for a Doc.
Step 3: Paste into a blank Doc
- Go to Google Docs and create a blank document.
- Name it with the recording, not "Transcript final final." Date plus guest or event is enough.
- Paste. If the formatting comes in as one giant heading or a weird font, undo and paste without formatting (on Windows, Ctrl+Shift+V).
- Put a line under the title with the source file name. Future you will not remember which MP4 this was.
Uploading a DOCX to Drive and choosing Open with Google Docs is the other door. Use it when you already downloaded Word. For a first share, copy and paste is faster and leaves less style junk.
Step 4: Fix heading styles
Docs will guess. Guessing is usually wrong.
- Select the title. Set it to Title or Heading 1. One of those. Not both on every line.
- Select the body. If a paste promoted whole paragraphs into Heading 1, set them back to Normal text. A transcript that is all headings is painful to scroll and worse to outline.
- Speaker names arrive as bold text at the start of a paragraph ("Jordan:"). That is readable. Leave them bold unless your editor has a house style that wants each speaker as Heading 2. If they do, apply Heading 2 only to the name line, and keep the speech in Normal text. Do not make the spoken words a heading.
- Timestamps in brackets can stay in the paragraph. If they look like noise, they were optional in the export. Re-export with timestamps off and paste again rather than deleting them by hand for an hour.
Check the outline on the left. You want the title, and maybe speaker names if you promoted them. You do not want eighty outline entries because every turn became a heading.
Step 5: Share with comments and suggestions
Click Share.
- Commenter if they should mark questions and must not rewrite the quote silently.
- Editor if they will fix wording. Ask them to switch the mode from Editing to Suggesting (the pencil menu at the top right). Suggestions show as proposals you can accept. Edits made in Editing mode are just gone into the prose.
Use comments for queries, not for the correction itself when you already know the audio:
- "Confirm this name against the tape."
- "Moderator or panelist? Sounds like a prompt."
- "Product name at 12:04, I think the model guessed."
Answer the comment from the transcription tool. Click the timestamp there, listen, then resolve the comment in the Doc. The Doc does not contain the audio.
Two people can suggest at once. Agree on who accepts. A transcript with three unresolved suggestion layers is harder to read than Speaker 1 ever was.
What this Doc will not do
It will not stay linked to the media. Change a name in File Transcribe later and the Doc will not update. Export again, or edit both.
It will not transcribe a new file. Playing the recording through your speakers into Voice typing is the fragile workaround the other articles warn you off. Upload the file to File Transcribe instead. Interviews: interview recordings. Meetings you already downloaded: Zoom meetings.
It will not make captions. If the next ask is SRT, export SRT from the transcript. Do not convert the Doc back into subtitles by hand.
FAQ
Can Google Docs transcribe the audio while I do this?
No. This is an export into a Doc. Voice typing is live mic dictation. The file-upload question is answered in can Google Docs transcribe an audio file.
Should I paste text or upload a DOCX?
Paste plain text or use Copy text for a clean Doc. Upload a DOCX when you already have the Word file and want Drive to convert it. Either way, fix heading styles after.
Do speaker labels survive the paste?
Yes, if you included them on export. They come across as text, usually with the name in bold. They are not a special Docs field. Check that the moderator's name is right before you share.
How do I let an editor mark changes without overwriting quotes?
Share as Editor and have them use Suggesting, or share as Commenter and let them comment only. Comments are the right tool for "please check the audio."
What if my editor refuses Google Docs?
Send Word. The matching steps are how to export a transcript to Word.
Paste the finished transcript
Clean the names in File Transcribe, copy the text, paste it into a Google Doc, set the title style, and turn on Suggesting before anyone rewrites a quote.
