Transcribe faster with File Transcribe
Upload audio or video, get speaker labels, timestamps, and editable text free to try.
Best free caption editor is a messy search. Some tools are free because they only edit text. Some are free because the video is already on YouTube. Some are free desktop apps you install. A few "free editors" are trials that watermark the export.
This page separates those. The paid market, including File Transcribe Pro, is in best caption editor. Generators that write the first SRT are in best free subtitle generators.
Confirm limits on each site. File Transcribe prices are on /pricing.
Free does not mean the same product
| Kind of free | What you actually get |
|---|---|
| No-signup browser editor | Change cue text in an SRT or VTT and download the file |
| Platform editor | Fix captions on a video that already lives on that platform |
| Free desktop app | Full timing tools, your files, your machine |
| Free transcription tier | A draft transcript. Caption-file export may be on a paid plan |
If a page promises "free caption editor" and then hides export behind a watermark, read the export step before you upload a client's video.

| Small fixes on a video already on YouTube | YouTube Studio |
| Timing, waveform, offline, Windows | Subtitle Edit |
| Frame-level timing you already know | Aegisub |
| Styled text burned into a short | CapCut free, then accept a re-export for every typo |
1. File Transcribe subtitle tool: best free caption editor for cue text
The subtitle editor takes an SRT or VTT in the browser. You edit the text of each cue and download the file. No signup. It does not move in and out points. Timing offsets live on the separate sync and time-shift tools.
That is the honest free editor: text in, text out, your file.
The signed-in caption editor is a different screen. After you sign in, Subtitles in the sidebar opens cues next to the video, with timing edits. Public pricing lists SRT / VTT export from that transcript workflow on Pro (about $19/month) and Plus (about $49/month), not on the free plan. Free is about 50 minutes a month, with TXT and PDF. Guest try on the homepage is for a transcript draft, within guest limits. Do not treat the homepage upload as an unlimited free caption desk.
Pick the tool if an existing caption file has wrong names and the times are already fine. Sign in and open Subtitles if you need the picture and the times. Go Pro if the export you need is the SRT from a transcript you generated in the app. Steps: try the caption editor.
2. YouTube Studio: best free caption editor on a live video
YouTube Studio costs nothing extra. Auto captions, a manual track, and an uploaded SRT all edit in the Subtitles panel of a video you own.
Strengths: Viewers get the fix on YouTube. No install.
Tradeoffs: No video on the channel, no editor. You are not producing a master for a course site unless you also download the track. Long files are tedious. Guide: how to add captions to YouTube videos.
Pick Studio if YouTube is the only destination. Pick a file editor if the same captions have to leave YouTube.
3. Subtitle Edit: best free caption editor on the desktop
Subtitle Edit is free software for Windows. Waveform, spell check, and format conversion are the point. You do not pay a seat. You do spend time installing and learning it.
Strengths: Timing tools a browser text box will not match. Offline. Your disk.
Tradeoffs: Not a transcription service. Not a shared library. macOS is not the primary app. Read the current license on the official site before you standardize a team on it.
Pick Subtitle Edit if free plus serious timing matters more than a browser tab. Skip it if you wanted to upload an MP4 and read a transcript first.
4. Aegisub: best free editor if you already time by ear
Aegisub is free and built for people who scrub audio and set times by hand. It will not speech-to-text your webinar. It will let you place a line on a frame.
Pick it if that is already your craft. Do not pick it as a "free YouTube caption" shortcut for a 40-minute interview. You will still need a transcript from somewhere.
5. CapCut free: best free look, worst free caption file
CapCut will write captions and burn them into a vertical export for nothing, within whatever the free tier allows this month. That is a style tool. The words are inside the render. Fix a name, export again.
Pick CapCut if the output is one short and you do not need an SRT. Do not call it a caption editor when the client asked for a file. Soft-file vs burn-in: burned-in captions vs soft subs.
What free editors will not do for you
A free caption editor will not invent good timing from a TXT file. If someone pasted a paragraph and asked for an SRT, no editor can hear the audio you did not upload.
A free editor will not keep a shared library of a team's recordings unless you add that yourself (a folder, a drive, a naming rule). Subtitle Edit and Aegisub are files on a disk. YouTube Studio is files on a channel. The File Transcribe library is an account, and the free plan's minutes are the limit on new transcription, not a promise of unlimited caption exports.
A free editor will also not burn a brand font into the master and hand you a clean SRT from the same click. CapCut-style tools do the burn. File-based editors do the SRT. Budget both when the course needs both.
If the job is "fix these 40 names in an SRT we already timed," stay on the free text tool. If the job is "transcribe 2 hours and deliver VTT," open /pricing and use Pro. Pretending those are the same free button is how caption projects slip.
A free path that does not waste the afternoon
- If you already have an SRT and the times are fine, use the subtitle editor tool and download.
- If the video is on YouTube and the errors are small, use Studio.
- If you need waveform timing and no subscription, install Subtitle Edit or Aegisub.
- If you need File Transcribe to generate the transcript and hand you SRT/VTT, read /pricing before you promise a client a free export. Generation minutes on Free are real. Caption-file export is listed on Pro.
FAQ
What is the best free caption editor?
For an SRT you already have, the File Transcribe subtitle editor: no signup, cue text, download. For a video already on YouTube, Studio. For offline timing, Subtitle Edit or Aegisub.
Is the File Transcribe caption editor free?
The no-signup tool is free for text edits. The signed-in editor in Subtitles is where you work next to the video. The pricing page lists SRT and VTT export on Pro and Plus, not on Free. Check /pricing before you plan a free export.
Can I try a caption editor without installing anything?
Yes. The browser tool takes SRT or VTT. YouTube Studio is also in the browser if the video is on your channel. Desktop apps are the install path.
Are free caption editors good enough for a course?
For a spelling pass, yes. For a 20-video course with names, timings, and an SRT the LMS will accept, budget a real edit. Free burn-in apps will not hand the LMS a file.
